The Budget Management system is an add-on for the General
Ledger system. It allows the user to monitor the budget though out
the year. This system will not only monitor expenses that have been paid,
but it will look in the Check Book system
for any invoices that have not yet been paid and also any checks that
have not yet been posted. It will also search the Purchase
Order files for purchases that have not yet been recorded as accounts
payable. It provides fields for working on next years budget at the same
time it monitors the current budget.
The system will allow you to print your proposed or actual budget for
the next year. Once the budget has been approved, the ACS General Ledger
system can be automaticaly updated with the new budget information.
This system has been designed to work in conjunction with the ACS General
Ledger system and other ACS software. This system will allow the person
or persons responsible for maintaining the budget to have constant access
to al budget information, such as the current budget, the expenses paid
to date, all expenses still in accounts payable and also all encumbered
expenses still in the Purchase Order file.
The system will display the status on each budget item (over/under, etc).
The system allows the user to enter new or proposed budget changes and
then print various reports for approval or analysis. Once any proposed
changes have been approved or once the next year's budget has been approved,
the general ledger operator has a menu option that will allow the actual
General Ledger system to be updated with the new budget information.
The system has been designed to pull information from the actual bookkeeping
files without giving the user any options of changing the actual records.
This will allow department heads, etc, to use the system to monitor their
budgets without any access to the actual records.
The ACS Budget Management system produced all samples contained in this
booklet. And these ACS Systems will produce, at a minimum, all of the
reports shown in this booklet.
